All ECAP12 participants must register. This includes authors of accepted contributed papers, all participants in symposia, and attendees who are not presenting.

The Early Bird registration deadline is 15 June 2026. The Regular registration deadline is 5 July 2026.

Participants may register until the end of the conference, but speakers must register by 5 July 2026. Papers whose authors have not registered by that date will be removed from the programme.

Please note that from 6 July onwards, payment will be possible by credit/debit card only.

The student rate is available to participants enrolled in a Bachelor’s, Master’s, or PhD programme at the time of registration.

Unfortunately, ECAP12 does not have funds available to support travel, accommodation, or subsistence expenses for students, independent researchers, or similar cases.

Yes. During registration, you will be asked whether you require an invoice and to provide the relevant billing details.

ECAP12 does not have a general refund policy. However, in exceptional circumstances (e.g. visa refusal), 75% of the registration fee will be refunded.

No. Participants are responsible for arranging their own accommodation. Information about low-cost accommodation options can be found on the Practical Information page.

Yes, but only until 5 July 2026.

If you wish to make the two purchases separately, you must use different email addresses. Otherwise, the registration system may not allow you to proceed.

Yes. Lunch tickets can be purchased online until 5 July 2026 for €8 per ticket. After that date, lunch will also be available at the venue cafeteria during the conference. However, service may be slower, ticket holders will receive priority, and prices may be slightly higher.

Yes. When purchasing tickets, simply select the required number of lunches. If possible, please include the accompanying person’s tickets under your own name so that they can be included in your conference materials.

Vegan options will be available for both the conference lunches and the conference dinner. However, we cannot guarantee specific gluten-free or other special dietary catering options.

The university cafeteria will remain open throughout the conference and is expected to offer a variety of alternatives. If you have a severe food intolerance, we recommend taking this into account before purchasing meal tickets.

The vegan meals will be prepared by the university catering service and will correspond to their standard vegan options. Unfortunately, we cannot guarantee that they will meet individual expectations or preferences.

Yes. Certificates of participation will be issued and sent after the conference.

No. ECAP12 is an in-person conference and does not offer online presentations.

No. There is no requirement to submit a final version. Only the short abstracts of accepted papers will be included in the conference programme.
