Information for Speakers

We expect a small number of last-minute cancellations in the days leading up to the congress, which may result in minor changes to the programme. Please check the online programme again on the morning of 24 August to confirm the time and room of your session.

Timing

Contributed Papers

Each contributed paper is allocated 35 minutes: approximately 20–25 minutes for the presentation and 10–15 minutes for Q&A. Please keep strictly to the allotted time.

Contributed papers are organised into sessions of two or three talks, with a 5-minute break between talks to allow participants to move between parallel sessions.

Please note that in the EasyChair programme, talks are scheduled at 40-minute intervals. These 40 minutes consist of the 35-minute presentation and discussion period plus the 5-minute break.

Symposia

Symposium sessions are allocated 115 minutes in total, including presentations and Q&A. Symposium organisers are responsible for managing the time within their session.

Section Keynotes

Plenary and Section Keynote sessions are allocated 105 minutes: up to 60 minutes for the lecture, with the remaining time for questions and discussion.

Presentations

💻 Room setup
All session rooms are equipped with computers connected to screens.

🔌 USB format
The easiest and most reliable option is to bring your presentation on a USB-A flash drive. Please note that the computers do not have USB-C ports.

📐 Slide format
The recommended slide format is 16:9.

📄 File format
We recommend bringing your presentation in PDF format to minimise potential problems with fonts, formatting, or compatibility.

Congress assistants, identifiable by their ECAP12 T-shirts, will be available in the session rooms 10–15 minutes before each session begins to help speakers set up their presentations.

Please upload your presentation to the room computer before the beginning of the entire session. This also applies if your talk is the second or third presentation in the session. Please do not wait until the 5-minute break immediately before your talk to upload your file.

Unfortunately, presentations cannot be sent to us in advance. As a backup, we recommend emailing the presentation to yourself or otherwise making it available online in case it is needed.

Handouts

If you wish to use handouts, please print them in advance and bring them with you. There will be no printing service available at the conference venue.
